Position Management Procedures

Requirements for Establishing New Positions:

-PD-118, identifying funding source, requested classification, position value, appointment type
-Position Description (signed) in one of the following formats:

  • PD-OSS-93, for all office support positions (Office Assistant, Program Assistant, Processing Assistant, Secretarial positions)
  • PD-102-R, for all other SPA positions
  • EPA questionnaire, for positions potentially exempt from the State Personnel Act

-Updated Organizational Chart
-Americans With Disabilities Act (ADA) Checklist
-Any other supporting documentation (memos, letters, etc.)

Requirements for Restudies (classification reviews of existing positions)

-PD-118, identifying current and projected funding source, current and requested classification, position value, appointment type, incumbent, etc.
-Position Description (signed) in one of the following formats:

  • PD-OSS-93, for all office support positions (Office Assistant, Program Assistant, Processing Assistant, Secretarial Positions)
  • PD-102-R, for all other SPA positions
  • EPA questionnaire, for positions potentially exempt from the State Personnel Act

-Updated Organizational Chart
-Americans With Disabilities Act (ADA) Checklist
-Any other supporting documentation (memos, letters, etc.)

Requirements for Abolishment of Position

-PD-118, identifying current funding source, current classification, position value, appointment type, incumbent (if applicable), etc.

Review of Vacant Position for Posting Purposes

-If job description is less than 18 months old, no additional documentation is required.
-If job description is more than 18 months old and significant changes have occurred, an updated job description is needed.
-If job description is more than 18 months old and no significant changes have occurred, a memo from the position's supervisor stating that there have been no changes may by substituted for a new job description.
